When users book appointments, it\u2019s helpful to sync them with Google Calendar and send email notifications automatically. You can connect the JetAppointment<\/em> plugin to Google Calendar and Gmail using Make (formerly Integromat) to fully automate this workflow.<\/p>\n\n\n\n

In the How to Add Appointments to Google Calendar and Gmail<\/strong><\/a> tutorial, you can learn how to add appointments to Google Calendar and Gmail. However, with the Multi-booking<\/strong><\/a> <\/strong>option, you need to set up Make differently.<\/p>\n\n\n

This setup supports one-way synchronization only (from your WordPress website to Google Calendar and Gmail). Two-way sync and Apple Calendar integration are not supported.<\/p><\/div><\/div>\n\n\n\n

Set up Make<\/h2>\n\n\n\n

Make<\/a> is a no-code automation platform that lets you connect apps and build visual workflows to automate tasks and data between services.<\/p>\n\n\n\n

Sign in or create an account on the Make platform. Once you\u2019re on the My Lab<\/strong> page, open the Scenarios<\/strong> tab from the left-side menu and click the \u201cCreate a new scenario<\/strong>\u201d button in the upper-right corner.<\/p>\n\n\n\n

Hit the big \u201c+<\/strong>\u201d <\/strong>button and choose the \u201cWebhooks\u201d module from the list of tools.<\/p>\n\n\n\n

Then, choose the \u201cCustom webhook\u201d <\/strong>from the list of triggers and actions.<\/p>\n\n\n\n

In the Webhook<\/strong> dropdown, select a \u201cMy gateway-webhook webhook\u201d option (or add a new one) and press the \u201cCopy address to clipboard<\/strong>\u201d link. Then, proceed to your WordPress website without closing the Make window.<\/p>\n\n\n\n

Set up the Appointment Form<\/h2>\n\n\n\n

If you already have such a form, edit the one you want to connect with Make in the WordPress Dashboard > JetFormBuilder > Forms<\/em><\/strong> tab. <\/p>\n\n\n\n

In the Post Submit Actions<\/strong> block, click the \u201c+ New Action<\/strong>\u201d button and choose the \u201cCall Webhook\u201d Type<\/strong>.<\/p>\n\n\n\n

Paste the link to the Webhook URL<\/strong> field and hit the \u201cUpdate<\/strong>\u201d button to save the changes.<\/p>\n\n\n\n

Navigate to the front-end page with that form and submit it. After that, you should see the \u201cSuccessfully determined.\u201d note in the Webhooks<\/strong>. Hit the \u201cSave <\/strong>button.<\/p>\n\n\n\n

Adding the Google Calendar Module<\/h2>\n\n\n\n

Next, click the \u201cFlow Control<\/strong>\u201d <\/strong>button in the Tools<\/strong> panel and drag and drop the Iterator <\/strong>module or add the Iterator<\/strong> via the \u201cAdd another module<\/strong>\u201d button.<\/p>\n\n\n\n

The Iterator<\/strong> is an interface that provides access to the elements of a collection (array or container) and navigation through them.<\/p>\n\n\n\n

In the Array<\/strong> dropdown, select \u201cappointment_date_list\u201d \u2014 this value corresponds to the appointment date field in your form. Then click the \u201cSave<\/strong>\u201d button.<\/p>\n\n\n\n

Click the \u201cAdd another module<\/strong>\u201d button, insert \u201cGoogle Calendar,\u201d and choose the \u201cCreate an Event\u201d action.<\/p>\n\n\n\n

Click the \u201cAdd<\/strong>\u201d button near the Connection <\/strong>bar and connect Make to the Google account.<\/p>\n\n\n\n

In the Create an Event<\/strong> dropdown, select the \u201cIn Detail\u201d option.<\/p>\n\n\n\n

In the Calendar ID<\/strong> dropdown, pick the required calendar from your Google Calendar account (\u201cDoctor Appointments\u201d in this example). <\/p>\n\n\n\n

As the Event Name<\/strong>, choose <\/strong>as many items from the \u201cFlow Control \u2013 Iterator\u201d <\/strong>section from the pop-up as you want, like service and provider titles, price, user name and surname, user email, and so on. They will be shown in the Google Calendar slots as additional information about appointments. Note that you need to separate items with spaces, and you can add plain text to customize the slot. The item names are assimilated with the field names from the form that is connected with the Webhook<\/strong>. <\/p>\n\n\n\n

For example, it can be: \u201dserviceTitle by providerTitle \u2014 price$\u201d<\/p>\n\n\n\n

Drag and drop the \u201cslot\u201d item to the Start Date<\/strong> field and the \u201cslotEnd\u201d item to the End Date<\/strong> field. The \u201cslot\u201d and \u201cslotEnd\u201d items work for appointments with the time frames, but if you need to book an event only by days (not by hours), you need to drag and drop the \u201cdate\u201d item.<\/p>\n\n\n\n

Since the date and time are saved in the timestamp, they need to be parsed. Click on the \u201cDate and time<\/strong>\u201d icon in the pop-up and drag and drop the \u201cparseDate\u201d function to the Start Date<\/strong> and End Date<\/strong> fields.<\/p>\n\n\n\n

Prescribe the dates in such a way: \u201cparseDate ( slot ; X )\u201d and \u201cparseDate ( slotEnd ; X )\u201d.<\/p>\n\n\n\n

\u201cX\u201d is the Unix timestamp (the date format of the input). More information can be found in the Tokens for date\/time parsing<\/strong><\/a> article.<\/p>\n\n\n\n

Click the \u201cSave\u201d<\/strong> button in the Google Calendar<\/strong> module when you finish. Also, save and run the scenario by setting up the schedule<\/a>.<\/p>\n\n\n\n

Now, go to the Google Calendar<\/strong> service<\/a>. After you run a new scenario, the multi-booking appointments will appear in the schedule.<\/p>\n\n\n\n

Adding the Gmail Module<\/h2>\n\n\n\n

To send multiple appointment information via email, you can set a \u201cSend Email<\/a>\u201d post-submit action in the JetFormBuilder<\/em> form. Additionally, check the Macros Guide for JetAppointment<\/strong><\/a>.\u00a0<\/p>\n\n\n\n

Alternatively, you can add a Gmail<\/strong> module.<\/p>\n\n\n\n

For that, first, press the \u201cAdd another module<\/strong>\u201d button and add the Text aggregator<\/strong> tool. It collects the individual items from the Iterator <\/strong>and merges them into a single block of text. This ensures the user receives one summary email with a full appointments list instead of multiple separate messages.<\/p>\n\n\n\n

In its settings, select \u201cIterator\u201d as the Source Module<\/strong>. In the Text <\/strong>field, add the \u201cSummary\u201d item from the Google Calendar module. You can also add the <br> tag after the item to list appointment details rather than put them on one line.\u00a0<\/p>\n\n\n\n

Press the \u201cSave<\/strong>\u201d button.<\/p>\n\n\n\n

Then, push the \u201cAdd another module<\/strong>\u201d button again, select \u201cGmail\u201d and \u201cSend an email\u201d action.<\/p>\n\n\n\n

Click the \u201cAdd<\/strong>\u201d button near the Connection <\/strong>bar to connect Make to the Gmail account.<\/p>\n\n\n\n

In the To<\/strong> field, press the \u201c+ Add recepient<\/strong>\u201d button to add the Recipient email address<\/strong>. In the first field, insert the \u201cuser_email\u201d item that is connected to the form field where the user enters their email address, and in the second field, you can enter the admin email if needed.<\/p>\n\n\n\n

Customize the Subject<\/strong> as desired.<\/p>\n\n\n\n

In the Body type <\/strong>dropdown, select the \u201cRaw HTML\u201d option.<\/p>\n\n\n\n

In the Content<\/strong> field, adjust the email body using plain text, HTML tags, and items. The \u201ctext\u201d item from the Text aggregator <\/strong>will show multiple appointment details.\u00a0<\/p>\n\n\n\n
